How we work

A structured, system-based approach to controlling completion risk from construction through commissioning readiness.

Built for projects where construction completion does not guarantee readiness.

We support owners and EPCs in high-complexity project environments. Our method holds across project scale, system complexity, execution maturity and operational risk.

Our working method

Four stages that keep completion risk visible and controlled, from planning through to handover.

Plan and prepare: completion scoping and system definition
Plan & prepare

Define scope, systems, boundaries, stakeholders and completion strategy. Establish the baselines, interfaces, readiness criteria and governance controls required for execution.

Execute and control: field completion tracking
Execute & control

Monitor completion progress, punch exposure, document readiness and schedule alignment. Identify blockers early and drive accountable resolution across disciplines and contractors.

Verify and validate: evidence-based completion checks
Verify & validate

Apply system-based assurance through completed Inspection and Test Records (ITRs), their supporting proof records, punch status and physical walkdowns. Confirm readiness before handover decisions are made.

Complete and handover: systems handover to operations
Complete & handover

Control handover to commissioning and operations with complete records, accepted exceptions, clear ownership and readiness confidence.

Our operating principles

Five principles applied on every engagement.

Risk-focused

Completion risk is identified, prioritised, controlled and escalated before it impacts handover or start-up.

System-based

Work is structured around systems, subsystems, interfaces, boundaries and readiness dependencies.

Evidence-driven

Decisions are based on ITRs, punch status, dossier maturity and traceable completion data.

Collaborative

Owners, EPCs, contractors, vendors and commissioning teams work from aligned responsibilities and transparent priorities.

Commissioning-ready

The outcome is not just construction completion, but safe, controlled and verifiable readiness for commissioning and start-up.

How CompleCore™ governs project completion

One control model, from foundation to governance.

01

Physical System Control

Define and control systems, subsystems, boundaries, tag allocation and ownership.

02

Completion Verification

Track ITR completion, punch status, mechanical completion and RFC evidence.

03

Documentation Integrity

Ensure completion records, handover packs, evidence traceability and audit readiness.

04

Schedule Integration

Link completion progress to schedule logic, sequences, readiness and risk visibility.

Executive Governance & Risk Escalation

Provide oversight, drive decisions, intervene early and prioritise actions based on risk and readiness impact.

Schedule integration

We connect physical completion evidence to schedule logic so project teams can see what is ready, what is blocked and what may impact commissioning.

What clients can expect

Completion visibility icon
Clear subsystem readiness visibility

A transparent view of what is complete, incomplete, blocked or not yet verified across all systems and subsystems.

Risk identification icon
Earlier identification of handover risk

Punch, documentation, system-boundary and schedule-readiness issues identified before handover pressure peaks.

Protection icon
Controlled Mechanical Completion & handover

MC and handover decisions supported by objective evidence and agreed acceptance criteria.

Performance growth icon
Decision-grade executive reporting

Clear escalation of readiness constraints, recovery priorities and commissioning-impact risks for confident decisions.

How we engage

Three ways to bring Proofdatum in, matched to where your project stands: a fixed ten-day assessment, embedded completion control through delivery, or intervention when handover is already at risk.

Rapid Completion Assessment

Ten-day independent diagnostic

Completion Control Deployment

Embedded completion governance through delivery

Handover Recovery

Executive-level intervention when handover is at risk

When to bring us in

Completion risk is cheapest to remove at the start of a project and most expensive at the end.

Early
We make sure the processes, procedures, tools and training are ready before construction needs them.
Mid-build
We verify progress and raise delay signals while recovery options are still open.
Late
The later control arrives, the more the outcome depends on rework, task forces and negotiation.

FEED & Detailed Engineering

Design completion in

Completion strategy, PCMS structure and the evidence architecture set before construction: tag registers, ITR allocation, certification model and handover boundaries. Procedures, tools and team training ready to run from day one, with independent governance established at the point of maximum leverage.

01

Construction Completion

Control the build-up

Completion control in place as equipment, piping and cabling begin installation, with construction priorities aligned to commissioning requirements. Completion evidence verified as workfronts complete, and delay signals raised early so recovery plans are made while options are still open.

02

Mechanical Completion

Prove the turnover

Internal line walks that find defects and missing items before the formal walkdowns with the handing-over and receiving parties, with walkdown packages complete and invitations issued on time. A completion control room carried through from construction keeps findings resolved, while MC verification, certification integrity and punch discipline keep subsystems flowing to handover.

03

Pre-Commissioning

Hold the gates

RFC readiness verified on evidence rather than assertion, with punch and certification surge control as volumes rise, and the defects that surface at this stage tracked and closed before they stall the gates: flange management, preservation, Ex inspection gaps, cleanliness and temporary isolations left in place.

04

Commissioning

Defend the handover

RFSU readiness and dossier integrity proven gate by gate. Carry-over work on subsystems already handed over is sequenced and closed to committed dates, so construction completes without disrupting the commissioning sequence. Exceptions controlled rather than accumulated, with executive-level intervention where handover is at risk.

05

Ready for Start-Up & Operations

Hand over evidence, not assumptions

A defensible handover position for the Receiving Party: complete dossiers, controlled punch and verified readiness for start-up and operations.

Where you enter is flexible: a Rapid Completion Assessment gives an independent baseline in ten days at any phase, Completion Control Deployment carries governance through delivery, and Handover Recovery intervenes when dates are already at risk.

We work inside your existing team, tools and completion system; we do not replace them.

Ready to strengthen handover readiness?

Proofdatum helps owners and EPC teams improve completion control, evidence integrity and schedule-readiness alignment before late-stage risk escalates.
